with PowerPoint: Basic
Create a
Presentation from a Template
- At Create New Presentation/Open
Existing Presentation, choose Create New
Presentation Using Design Template
- Explore the tabs under New Presentations.
The Presentations tab contains some generic
presentations on topics mostly related to business. The General
tab contains a blank presentation and an autocontent
wizard that is generally not very helpful for educators. Design
Templates, which is the option most widely used by
educators, contains a variety of screen designs to which
any content can be added.
- From the Design Templates tab, click
each template to review its standard look
- Select a template that you like and click
to activate (light print on dark
background is best for large room presentations)
- Review new slide options (the blank offers plenty of room for
creativity!!) The name for each
format is located in the box in the lower right hand
corner. The default for the first slide is Title
Slide.
- Choose Title Slide and click OK
- Click in the text boxes and add text for
both the main and the subtitle
Customize a
Template to your Own Taste
To change the look of template text:
- select the text you want to change
- choose Format/Font from the
dropdown menu
- choose a font and set any other text
modifications
NOTE: You must create a master
slide to permanently change the font in a template.

To change the alignment of the text:
- click the appropriate alignment button on
the button bar
- drag & drop text boxes if necessary by
moving the cursor over the border of the box until the
cursor becomes an arrow, then click and drag to achieve
the look you want
To change the background and accent colors on
the slide:
- choose Format from the dropdown
menu
- select Slide Color Scheme
- select Custom
- adjust colors to your liking
- click apply to change just for this
slide
- click apply to all to keep this
format for the whole presentation
- click add as a standard scheme if
you think you want this "forever"
Insert Text
- Click the new slide button (or choose Insert/New Slide) NOTE: new slide and
new presentation are different buttons!
- Select the bulleted list layout (click OK) NOTE: bullets are preferable to body text in
presentation.
- Type in a set of bullets
Insert Clip Art or
Photos
- Click the new slide button (or choose Insert/New Slide)
- Select a clip art & text layout
(click OK)
If you double click the clip art box, this
takes you to the Microsoft Clip Art Gallery
(If you get a message that says the program
is unavailable, keep clicking OK until you bring it up.)
- Explore the categories in the gallery
- Select an image by clicking on it
- Click Insert
From the MS Clip Art Gallery, you can also
access Microsoft's Internet free site
- Double click the Internet Explorer icon at
the bottom right of the window
- Click OK to go to the Internet
- Click Accept at the license
agreement (Add this site to your
favorites.)
- You can browse images by category or
search by key word
(NOTE: This site also offers
photos, sounds, and animated gifs.)
- Click an object to select it (It appears in the preview box.)
- Double click the preview box
- Select Open from current location (This will put the image into the Downloaded
Clips category in the Gallery.)
- Select the image and click insert
Other ways to add clip art and other objects:
- from the web
- Go to any free site (See
Free Stuff handout.)
- select any image or sound
- right click & choose copy --OR--
left click and follow download directions
- from CD-ROM or 3.5 floppy
- predetermine which file you will want
- insert the source disk in D: or A:
- select insert from the dropdown
menu
- select picture and from file
- hilite the appropriate file name and click
insert
SAVE: Go to File/Save As and save your presentation under
My Documents. Making folders in My
Documents is a good filing habit, but whatever you choose to do,
always save documents to a specific file with a unique name so
you will know how to find them again!!
Add Animation
Effects to Text and Art
click the object to select it (Clicking a text box will apply the same effect to each
bullet in the box.)
- then right click
- choose Custom Animation
- choose the effects you want and click OK
- You could also click the animation
button on the toolbar or go to the slide show
dropdown menu
PowerPoint Views
Now that you have 3 slides, explore the views
button bar at bottom left:
- Slide View (editing)
- Outline (for your audience)
- Slide Sorter (check the flow of the
presentation; insert, delete, reposition slides)
- Notes Page View (for the presenter)
- Run the Presentation
Click the slide show button to play the
slide show. Press enter to advance from slide to slide or
use the page down key. Press enter or escape
to return to slide view.
NOTE: For right now, you're using keys on the
machine to run your presentation. This is especially helpful to
the presenter who needs to maintain control of the timing of
slide advancement. In the intermediate class we will cover adding
action buttons, setting timing, and packaging a self-running
presentation.
Create your
Own Slide Layout
- Click the new slide button (or choose Insert/New Slide)
- Choose a title only layout and type
in a headline
Create a text box
- Click the text box icon on the Draw
toolbar
- Notice that your cursor changes shape
- Place the cursor at the top left of where
you want your box. Depress the left mouse button while
you drag the cursor as far to the right as you want; then
drag down. You'll notice that the box will only be one
line deep, but it will expand as you type.
- Click the bullet button on the
formatting bar
- Type your first bullet. If the text size
is too large or small, select the text increase or
decrease button and adjust accordingly. You can
also change the height manually on the formatting bar.
- Type in a few more bullets, and then use
the ;ine spacing buttons under the format menu to
increase or decrease the space between
"paragraphs" as desired.
Add a Word Art header
- Click the Word Art icon on the Draw
toolbar
- Select a style that's compatible with your
template and click it
- Now you'll get a place to enter your text.
Notice you can only change the headline style and size
and a couple of attributes. Type a header and click OK.

toolbar.
